Important Deadlines 2027
1. Proposal Submission Deadline: February 15, 2027 (Final notification: February 26, 2027)2. Author Registration Period
Important: Authors must complete their registration by March 5, 2027. Registration after this deadline does not guarantee the inclusion of the contribution in the 2027 Digital Book of Proceedings or Book of Abstracts.
Registration Categories & Fees
Each author listed on a contribution must complete an individual registration and pay the corresponding registration fee. The first author pays the full registration fee, while subsequent authors benefit from a reduced registration fee. All authors listed on the contribution are required to register and pay the applicable fee, regardless of whether they actively participate in the virtual conference.
Each registration covers one contribution. Authors may submit up to two contributions; however, a separate registration fee must be paid for each contribution. Therefore, if an author is listed on two contributions, the applicable registration fee must be paid separately for each contribution.
Registration fees may vary depending on the type of contribution (full paper or abstract) and the author’s position on the contribution. All fees are one-time payments in Euros (€).
For multi-author contributions, we recommend, whenever possible, that all registration fees corresponding to the same contribution be paid in a single transaction. However, separate payments are also permitted. In this case, each author is responsible for completing their individual registration and payment within the applicable registration deadline.
Please note that the publication of a contribution in the conference proceedings will only be guaranteed if all authors listed on the contribution have completed their registration and payment by the corresponding deadline.

The Registration Fee Includes:
Option 1: Full Paper + Video Presentation
- Conference Access: Access to all virtual sessions, keynote speeches, and scientific forums.
- Certification: Individual authorship certificate and a 20-hour certificate of attendance.
- Publishing: Full paper included in the conference proceedings, published in open access by Adaya Press, with ISBN, ISSN, and an individual DOI.
- Indexing: CIVAE conference proceedings from 2020 to 2026 have been indexed in the Web of Science (WoS) – Core Collection. The 2027 proceedings will be submitted to Web of Science for evaluation and potential indexing, and will be included in DIALNET and other international databases.
Option 2: Abstract + Poster or Video Presentation
- Conference Access: Access to all virtual sessions, keynote speeches, and scientific forums.
- Certification: Individual authorship certificate and a 20-hour certificate of attendance.
- Publishing: Abstract published in the CIVAE Book of Abstracts, available in open access on the CIVAE conference website, with ISBN.
Track Record of Excellence: CIVAE conference proceedings from 2020 to 2026 have been indexed in the prestigious Web of Science (WoS) Core Collection – Conference Proceedings Citation Index (CPCI-SSH). Each edition undergoes an independent evaluation process by WoS. The 2027 Proceedings will be submitted to Web of Science for evaluation and potential indexing.
Cancellation Policy
All cancellation requests must be submitted in writing to the Conference Office. Consequently, refunds are subject to the following timeline:
- Before January 31, 2027: Refund available minus a 50 EUR administrative fee.
- After January 31, 2027: No refunds will be issued.
*Cancellations take effect only after written confirmation from the CIVAE 2027 Office.
Method of Payment
Payment details will be provided via email following the official acceptance of your proposal.
• Bank Transfer: Ensure the transfer is made as an “OUR” payment (all bank charges covered by the sender). Furthermore, the participant’s name must be clearly stated.
• PayPal: Recommended for participants outside the European Union.
• Other Methods: For alternative options, please contact us directly.
