Publication Ethics and Malpractice Statement
CIVAE – Interdisciplinary and Virtual Conference on Arts in Education
CIVAE is committed to ensuring the highest standards of publication ethics. All parties involved in the act of publishing (authors, editors, and reviewers) must agree upon standards of expected ethical behavior. Our guidelines are strictly based on the Committee on Publication Ethics (COPE) Core Practices and Best Practice Guidelines for Journal Editors.
1. Responsibilities of Authors
- • Originality and Plagiarism: Authors must ensure that their work is entirely original. Plagiarism in all its forms, including self-plagiarism and redundant publication, is strictly prohibited and will lead to immediate rejection.
- • Use of Generative AI: Authors must disclose the use of generative AI and AI-assisted technologies in the writing process. AI tools cannot be listed as an author. Authors are fully responsible for the accuracy, integrity, and originality of the content produced by AI tools.
- • Multiple Submissions: Submitting the same manuscript to more than one conference or journal concurrently is considered unethical and is not allowed.
- • Authorship: Authorship should be limited to those who have made a significant contribution to the study. All co-authors must approve the final version of the paper.
- • Conflicts of Interest: All authors must disclose any financial or personal relationships that could influence their results.
2. Responsibilities of the Scientific Committee
- • Fair Play: The Scientific Committee evaluates manuscripts for their intellectual content without regard to race, gender, religious belief, ethnic origin, or citizenship of the authors.
- • Confidentiality: The committee must not disclose any information about a submitted manuscript to anyone other than the corresponding author and reviewers.
- • Publication Decisions: Based on the peer-review reports, the Scientific Committee is responsible for deciding which papers will be published in the conference proceedings.
3. Responsibilities of Reviewers
- • Contribution to Decisions: Peer review assists the committee in making editorial decisions and helps the author improve the paper.
- • Confidentiality & AI Rules: Manuscripts must be treated as confidential. Reviewers are strictly prohibited from uploading manuscripts into generative AI tools (e.g., ChatGPT) as this violates confidentiality and data privacy agreements.
- • Objectivity: Reviews must be conducted objectively. Personal criticism of the author is inappropriate.
- • Promptness: Reviewers unable to provide a timely review must notify the committee and decline the invitation.
4. Handling of Research Misconduct
The Scientific Committee will take reasonable steps to identify and prevent the publication of papers where research misconduct has occurred. In cases of alleged or proven scientific misconduct, plagiarism, or fraudulent publication, the committee will follow COPE flowcharts to deal with allegations. This may result in the publication of an erratum, a formal expression of concern, or the retraction of the work.
This statement is updated for the 2026 edition of the CIVAE Conference and is fully aligned with the ethical guidelines of Adaya Press and COPE.
